The practical guide

Plan today without losing sight of what comes next.

LONGSCHED has four simple building blocks. Start with the one that matches the kind of work in front of you—you can always edit it later.

01For a particular day

Daily tasks

Use a daily task when something belongs on a date. It can be an all-day item or a timed calendar event.

  1. 1Tap + beside Day tasks, then keep Day task selected.
  2. 2Add the task, date, and—if useful—a time. Choose 24h or 12h and use the time-zone menu when the event happens somewhere else.
  3. 3Save it. Use the checkbox when it is done; use the pencil or trash buttons to edit or delete it.
A useful shortcut: Faster option: type a request in the AI bar or tap the microphone. LONGSCHED prepares a draft first, so check the date, time, and time zone in Review addition before you accept it.

02For work without a date

Flexible tasks

Use a flexible task when it matters, but not on one specific day. It stays on your daily desk until you cross it off.

  1. 1Tap + beside Flexible tasks, or switch the add-task popup to Flexible task.
  2. 2Write the task and an optional note. There is no date or time to maintain.
  3. 3Star an important item, edit it whenever plans change, and check it off only when it is truly done.
A useful shortcut: A good rule: if moving the task to tomorrow would not change its meaning, it probably belongs in Flexible tasks.

03For multi-step outcomes

Longitudinal tasks

Use a longitudinal project when the work has a beginning, a destination, and several milestones in between.

  1. 1Tap New project, then add a name, description, start date, and deadline.
  2. 2On the daily desk, tap a milestone dot to preview it. Tap elsewhere on the project card to open the full project.
  3. 3Inside the project, add top-level tasks, create subtasks, reorder steps, star priorities, and mark work complete. The progress bar updates with you.
A useful shortcut: Keep top-level tasks outcome-sized—“Send final manuscript” is easier to scan than a long list of tiny actions. Put those smaller actions underneath as subtasks.

04For seeing the month

Calendar page

The monthly calendar shows your dated daily tasks. Flexible tasks and project steps stay in their own sections unless you also create a daily task for them.

  1. 1Open Monthly and use the arrows or Today button to move between months.
  2. 2On a phone, swipe sideways across the full-size calendar and pinch to zoom. Entries keep their readable desktop width instead of being squeezed.
  3. 3Tap an entry to edit it. The popup scrolls, so you can always reach Save or Delete—even when the phone is zoomed in.
A useful shortcut: Want these timed tasks in Apple Calendar or another calendar app? Open Profile, generate your private calendar subscription link, and follow the QR-code or link instructions.
